Privacy Policy
Last updated: October 6, 2026
This policy explains how HIRE USA handles information submitted through this candidate portal and information used in employment screening.
Information we collect
When you submit an application through this portal, we collect your name, date of birth, email address, telephone number, mailing address, the position for which you are applying, education level, and the document you upload. Uploaded documents may contain credit or background-screening information. We also keep the submission reference, submission time, and record of your consent to the privacy notice.
How we use information
We use submitted information to administer and review your application, assess information and documents you provide, communicate with you about the process, and protect the portal from misuse. As part of employment screening, HIRE USA may also request a consumer report from a consumer reporting agency (CRA) for a legally permissible employment purpose.
A request for a consumer report is handled through a separate disclosure and authorization process. The general privacy consent on this portal is not a substitute for any separate disclosure or authorization required by law.
How information is shared
Information is available to authorized personnel involved in reviewing applications. We use service providers to operate the website, database, private document storage, and transactional email. If a consumer report is requested for screening, identifying information may be provided to the CRA preparing that report. We may also disclose information when required by law or to address security, fraud, or legal claims.
We do not sell candidate information or share it for third-party marketing. Transactional email providers process the recipient address and the limited submission details needed to send a confirmation message.
Data security
The production portal uses HTTPS to protect information in transit. Date of birth is encrypted in the application database using AES-256-GCM. Uploaded documents are kept in private server storage and are not served from public file URLs. Access is limited to authorized application-review personnel. No method of transmission or storage can be guaranteed to be completely secure.
Retention and deletion
We have not set a fixed number of days for retaining portal submissions, and the portal does not currently automatically delete records based on age. Authorized administrators can remove a submission and its uploaded document. We retain information while it is needed to administer the application, comply with applicable recordkeeping requirements, resolve disputes, and protect our operations. You may contact us to request deletion; we will review the request under applicable law and recordkeeping obligations.
Your choices and questions
Privacy rights vary by state and by the circumstances of collection. You may contact us to ask about, access, correct, or request deletion of information submitted through this portal. For a consumer report, you may also have rights under the Fair Credit Reporting Act (FCRA), including the right to dispute inaccurate or incomplete information with the CRA that prepared it. Applicable screening notices are provided separately.
Contact our support team at support@hire-usa.online. Please do not email date of birth, a full credit report, or other sensitive documents. We may need to verify your identity before acting on a request.
Updates to this policy
We may update this policy when our practices or legal requirements change. The date above identifies the latest revision. Material changes will be reflected on this page.
